Information We Collect We collect information only as necessary to provide safe, high-quality arts education and to comply with our funding requirements. • Contact Information: Name, email address, phone number, and message (collected via website forms). • Program Registration: Student name, birthdate, and last four digits of Social Security Number (SSN). • Safety & Health Information: Emergency contacts, medications, and specific mental health or behavioral needs to ensure student safety and appropriate staff support.
Use of Third-Party Tools We use secure third-party service providers to manage registrations, process donations, and distribute communications. We do not sell, rent, or trade your personal information to outside marketers. Your data is shared with these providers solely to perform functional tasks for the Academy.
Data Security & Restricted Access Given the sensitive nature of our work, we take extraordinary care with your data: • Encryption: All digital information is stored in password-protected, encrypted databases. • Need-to-Know Access: Access to sensitive health or personal data is strictly limited to authorized administrative staff who require it for student safety and program management.
Data Retention We retain personal information in accordance with Florida Public Records Law and our government funding requirements (such as those from the Kids Hope Alliance). • Administrative Records: Typically held for a minimum of seven (7) years. • Youth Records: May be held longer (up to age 30) as required by state guidelines for youth-oriented services to ensure historical access for the students we serve.
Children’s Online Privacy Protection (COPPA) Our website is intended for parents and guardians. We do not knowingly collect personal information directly from children under 13 without verifiable parental consent.
